It is SignalZen's policy to respect your privacy regarding any information we may collect from you across our website, https://www.signalzen.com, and other sites we own and operate.
We only ask for personal information when we truly need it to provide a service to you. We collect it by fair and lawful means, with your knowledge and consent. We also let you know why we're collecting it and how it will be used.
We only retain collected information for as long as necessary to provide you with your requested service. What data we store, we'll protect within commercially acceptable means to prevent loss and theft, as well as unauthorised access, disclosure, copying, use or modification.
We don't share any personally identifying information publicly or with third-parties, except when required to by law.
Our website may link to external sites that are not operated by us. Please be aware that we have no control over the content and practices of these sites, and cannot accept responsibility or liability for their respective privacy policies.
You are free to refuse our request for your personal information, with the understanding that we may be unable to provide you with some of your desired services.

We are a Data Controller of your information.
SignalZen legal basis for collecting and using the personal information described in this Privacy Policy depends on the Personal Information we collect and the specific context in which we collect the information:
- SignalZen needs to perform a contract with you
- You have given SignalZen permission to do so
- Processing your personal information is in SignalZen legitimate interests
- SignalZen needs to comply with the law
SignalZen will retain your personal information only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your information to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our policies.
If you are a resident of the European Economic Area (EEA), you have certain data protection rights. If you wish to be informed what Personal Information we hold about you and if you want it to be removed from our systems, please contact us.
In certain circumstances, you have the following data protection rights:
- The right to access, update or to delete the information we have on you.
- The right of rectification.
- The right to object.
- The right of restriction.
- The right to data portability.
- The right to withdraw consent.
Data collecting
SignalZen collects data about registered websites, their visitors and website configuration on SignalZen side that is necessary to keep our service operational.
The collecting of data includes:
- Operators identification data including email, first name, last name, avatar and their personal settings created on the Console.
- Website settings created on the Console including security details (encrypted in SignalZen databases) that are needed to keep all integrations operational.
- Website visitor information obtained via browser headers, browsing history, IP address or other data received by using the technical integration contract (encrypted in SignalZen databases).
- Website visitor messages including files received by using the Live Chat widget (encrypted in SignalZen databases).
Data access, transfer and deletion
The mentioned data above can be accessed via Console UI at https://console.signalzen.com by using secure logging in with the appropriate client credentials.
Transferring of website visitors data can be performed via API which is documented at our documentation.
Transferring of data other than visitors data can be done by contacting SignalZen directly by email info@signalzen.com.
Deleting all data is available via the Console UI pages:
- Website deleting with all accumulated visitors data: Settings (left side menu) → Delete website (a tab)
- Operator profile deleting with all the settings: Click the avatar (right top of the screen) → Destroy Profile (menu item)
Google Workspace Data & AI Processing
SignalZen offers an optional integration with Google Chat. This section applies only if you choose to connect a Google Chat account or Google Chat space to SignalZen.
Google Workspace data we access
When you choose to connect Google Chat, SignalZen may access the Google Workspace data required to provide the integration and its features. Depending on how you use the integration, this may include:
- Google Chat spaces and relevant metadata;
- Google Chat messages and message content;
- information required to send messages to Google Chat; and
- information required to associate Google Chat conversations with SignalZen conversations and users.
SignalZen requests only the Google Workspace permissions necessary for the Google Chat integration.
If you do not connect Google Chat to SignalZen, SignalZen does not access your Google Workspace data through the Google Chat integration.
How Google Workspace data is used
If you choose to use the Google Chat integration, Google Chat data may be processed to provide the functionality you have enabled or requested.
Depending on the features you use, Google Chat message content may be processed by SignalZen's AI features, including:
- AI Translation — translates messages and conversations;
- AI Summaries — generates summaries of conversations;
- Message Magic Wand — improves the grammar, clarity, tone, or wording of selected messages; and
- AI Copilot — uses relevant conversation context to generate AI-assisted responses.
These features process Google Chat data only when needed to provide the corresponding SignalZen functionality.
Using SignalZen's AI features with Google Chat is optional. If you choose not to use a particular AI feature, your Google Chat data is not processed by that feature.
AI processing
When you choose to use an AI feature, relevant Google Chat content may be processed by third-party AI service providers acting on behalf of SignalZen.
Google Workspace data received through the Google Chat integration is not used by SignalZen to create, train, or improve general-purpose artificial intelligence or machine learning models.
Google Workspace data is also not used for advertising, retargeting, personalized advertising, or the creation of advertising profiles.
Sharing and transfer
SignalZen does not sell Google Workspace data or share it with advertising platforms or data brokers.
If necessary to provide a feature you choose to use, relevant Google Workspace data may be transferred to service providers that process data on behalf of SignalZen, including infrastructure and AI processing providers.
Such providers process the data only as necessary to provide the relevant SignalZen service and are not authorized to use Google Workspace data for their own advertising or general-purpose AI model training.
Human access
SignalZen does not routinely allow personnel to access or read Google Workspace data.
Access by authorized personnel may occur only when necessary for purposes such as security, preventing abuse, resolving technical issues, complying with legal requirements, or where appropriate user consent has been provided.
Retention and deletion
If you connect Google Chat, SignalZen retains relevant Google Workspace data only for as long as necessary to provide the integration and the features you choose to use, subject to applicable Google API requirements and SignalZen's data retention practices.
You can disconnect the Google Chat integration at any time. You can also contact us at info@signalzen.com to request deletion of data associated with your Google Chat integration.
Google Limited Use
SignalZen's use of information received from Google Workspace APIs adheres to the Google User Data Policy, including the Limited Use requirements.
SignalZen uses Google Workspace data only to provide the Google Chat integration and the user-facing SignalZen features you choose to use.
SignalZen does not use Google Workspace data to:
- serve advertising or personalized advertising;
- sell or provide data to data brokers;
- determine creditworthiness or lending eligibility; or
- create, train, or improve general-purpose artificial intelligence or machine learning models.
Any transfer of Google Workspace data is limited to purposes permitted under Google's User Data Policy and is performed only when necessary to provide a SignalZen feature you choose to use or for other purposes expressly permitted by Google.
Log Files
SignalZen follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this and a part of hosting services' analytics. The information collected by log files include internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any information that is personally identifiable. The purpose of the information is for analyzing trends, administering the site, tracking users' movement on the website, and gathering demographic information.
Cookies and Web Beacons
Like any other website, SignalZen uses 'cookies'. These cookies are used to store information including visitors' preferences, and the pages on the website that the visitor accessed or visited. The information is used to optimize the users' experience by customizing our web page content based on visitors' browser type and/or other information.
